Job Overview
We are looking for a responsible and well-organized Travel Operations Executive to manage the day-to-day operations of our travel business. The person will be responsible for monitoring bookings, coordinating with drivers and corporate clients, following up on payments and billing, collecting duty slips, and ensuring every trip is executed smoothly and on time.
The ideal candidate should be comfortable handling multiple bookings simultaneously, communicating with drivers and corporate clients, solving operational issues quickly, and maintaining accurate records.
Key Responsibilities
Booking & Operations Management

Monitor and manage all current, upcoming, and completed bookings.

Maintain a daily operational schedule and ensure all bookings are properly assigned and followed up.

Coordinate with drivers regarding trip timings, pickup locations, passenger details, routes, and special requirements.

Confirm driver availability and ensure drivers report for duties on time.

Track the status of ongoing trips and immediately address any operational issues.

Ensure all future bookings are planned and followed up well in advance.
Driver Coordination

Communicate with drivers on a daily basis regarding assigned duties.

Share booking details and ensure drivers understand pickup/drop timings and locations.
-
Follow up with drivers before and during trips to ensure smooth execution.

Handle driver-related issues, delays, cancellations, or replacements.
-
Collect duty slips/trip sheets and other required trip documents after completion of the duty.

Maintain proper records of completed duties.
Billing & Payment Follow-Up

Prepare and maintain accurate billing information for completed trips.
-
Verify trip details, duty slips, additional charges, waiting charges, tolls, parking, etc.

Coordinate with the accounts team for invoice preparation and submission.

Follow up with corporate clients regarding pending payments.
-
Track outstanding payments and maintain payment follow-up records.

Coordinate with drivers regarding any payment-related or trip settlement requirements.
Corporate Client Coordination

Coordinate with corporate clients to ensure bookings and transportation requirements are fulfilled on time.

Confirm schedules, passenger details, pickup/drop locations, and other requirements.

Maintain regular communication with client representatives.
-
Handle operational queries and resolve issues professionally.
-
Escalate major issues to management when required.
-
Build and maintain good working relationships with corporate clients.
Daily Monitoring & Reporting

Maintain a daily tracker of all bookings and their status.
-
Monitor today's, tomorrow's, and future bookings.
-
Ensure no booking, payment, duty slip, invoice, or follow-up is missed.

Prepare daily/weekly operational reports for management.
-
Maintain accurate records of bookings, drivers, completed trips, pending documents, invoices, and payments.

Identify operational gaps and take corrective action proactively.
Skills & Requirements

1–3 years of experience in travel operations, transport operations, fleet coordination, cab/travel companies, or a similar role.

Good communication and coordination skills.

Strong follow-up skills and attention to detail.
-
Ability to manage multiple bookings and tasks simultaneously.

Comfortable communicating with drivers and corporate clients.
-
Good problem-solving and decision-making skills.
-
Basic knowledge of Excel/Google Sheets and email communication.

Ability to maintain trackers and operational records.
-
Should be proactive, responsible, and available to handle urgent operational situations when required.

Knowledge of travel/cab booking operations will be an added advantage.
What We Are Looking For
We need someone who can take ownership of daily operations and ensure that every booking is properly coordinated from the time it is received until the trip is completed, duty slip is collected, billing is completed, and payment is followed up.
The candidate should be someone who does not wait for instructions for every task but proactively checks what is happening today, what is coming tomorrow, which driver needs to be contacted, which duty slip is pending, which invoice needs to be raised, and which payment needs to be followed up.
