Years in Business
A growing IT services organization needed a centralized digital workplace to simplify internal communication and provide employees with convenient access to company policies, branding resources, announcements and HR services. Disconnected documents and manual administrative processes made it difficult to locate information and manage routine employee requests efficiently.
We developed a centralized intranet using Microsoft SharePoint Online and Microsoft 365 to bring internal communication, document management and employee self-service capabilities into one platform. Custom SharePoint Framework (SPFx) components support dynamic content on the home page, while Power Apps and Power Automate streamline leave applications and managerial approvals.
The platform provides employees with a structured digital workspace where they can access important resources and company updates while completing routine administrative tasks through a unified interface.
As the organization grew, managing internal information and keeping employees informed became increasingly difficult. Company policies, brand guidelines and frequently used templates were stored across different locations, so employees often had to spend time searching for the right resource or confirming that they were using the latest version. At the same time, company news and important announcements did not have one dependable destination, making it harder for employees to stay up to date with internal activities.
Routine HR activities presented a similar challenge. Leave applications were handled through manual messages and email exchanges, which made it difficult to follow each request from submission through to the final decision. Employees also needed a straightforward way to raise questions and find answers to common HR and IT issues. Without a centralized platform, information access, request tracking and document governance all required a more structured approach.
· Scattered information: Policies, brand assets and templates were difficult to locate and maintain as a single approved source.
· Fragmented communication: News, announcements and important alerts lacked a central place for employees to review updates.
· Manual leave processing: Requests depended on direct communication and required additional effort to track approvals and outcomes.
· Limited employee self-service: Employees needed a clear channel for submitting questions and finding answers to routine queries.
· Document access control: Different users required appropriate permissions to view, update or administer company resources.
To address these challenges, we developed a centralized SharePoint intranet using Microsoft SharePoint Online and Microsoft 365. The platform brings company communication, shared documents and employee services into one structured digital workplace. Its home page was designed around everyday employee needs, with quick access to news, announcements, events, policies, support resources and frequently asked questions.
· Custom SharePoint development: We built custom SharePoint Framework (SPFx) web parts for announcements and the Quote of the Day. By retrieving content from SharePoint lists, these components allow authorized owners to update key messages without requiring a code deployment for routine changes.
· Centralized document management: We organized company policies and branding resources into structured document libraries, making approved files easier to find while applying permissions according to user responsibilities.
· Automated leave management: We created a leave application form in Power Apps and connected it to a SharePoint list. Power Automate routes each request to the manager for a decision, updates the request status and sends an email notification to the employee.
· Employee self-service: We added a query submission form, FAQs and quick links so employees could raise questions and locate common HR and IT information through the intranet.
· Role-based permissions: We configured SharePoint access groups to distinguish users who can view documents from those authorized to contribute content or manage the site.
The solution combines SharePoint Online for the core intranet experience, SPFx for custom page components and SharePoint lists and libraries for content storage. Power Apps and Power Automate support the leave request workflow, while Outlook email communicates approval requests and decisions.
The new intranet gives employees a consistent place to access company information and complete common workplace tasks. By bringing internal resources together and replacing an email-driven leave process with a defined workflow, the platform makes information easier to access and creates a clearer record of employee requests and managerial decisions.
· More accessible company information: Employees can find company news, policies, brand resources and frequently used links through one centralized platform.
· A clearer leave approval process: Requests follow a defined path from submission to managerial review, with email notifications communicating the decision to the employee.
· Centralized request records: Leave details, approval status and manager comments are stored in a SharePoint list, making request history easier to review.
· Simpler content maintenance: Authorized content owners can update list-driven announcements and daily quotes without relying on developers for every routine change.
· Improved document governance: SharePoint permissions help control who can view, edit or administer shared resources.
· More practical self-service: FAQs, query submission and quick links give employees a consistent starting point for common HR and IT needs.
The project delivered a unified Microsoft 365 digital workplace that combines internal communication, document management and employee workflow automation. Employees gained a central destination for company updates and shared resources, while the HR leave process gained a structured submission and approval flow with automated notifications. The use of SharePoint lists also allows selected content to be maintained by authorized owners without recurring code changes.
· Centralized intranet: A single destination for company news, announcements, policies and employee resources.
· Automated leave workflow: A Power Apps form connected to Power Automate for manager approvals and employee email notifications.
· Structured document libraries: Organized company resources with access permissions for different user groups.
· Traceable leave requests: A central SharePoint record of request details, approval status and manager comments.
· A foundation for future enhancements: The platform can be extended with features such as leave balance visibility, team leave calendars and overdue approval reminders.
